Demospec, a key player in Quebec’s deconstruction, decontamination, and concrete cutting & drilling sectors, is seeking an Administrative Assistant to support its Decontamination Division. As our Decontamination Division grows and projects multiply, we need to strengthen our administrative structure to support this expansion. This is where you come in: as an Administrative Assistant, you will become a key pillar of the team, ensuring coordination, efficiency, and smooth day-to-day operations.

What We Expect From You

As an Administrative Assistant (Decontamination Division), you will play a key role in our growth by providing administrative support to project and management teams, in connection with decontamination operations.

Additionally, you will be at the heart of the action: coordinating files, ensuring documentation compliance, and making sure that worksite activities are carried out in full compliance with regulatory requirements.

Your Responsibilities:

· Complete documents for public tenders.

· Open projects in Vision/Mir and prepare physical/public files.

· Submit public tenders via SEAO or email.

· Update the list of new employees and their training records.

· Prepare new work order pads/paper as requested for team leaders.

· Print plans for worksites.

· Process expense reports for workers.

· Issue purchase orders for suppliers.

· Complete prevention programs/procedures as required.

· Request insurer commitment letters and surety bonds.

· Register worksites with the CNESST.

· Follow up on invoicing (emails to clients/suppliers).

· Complete invoicing forms to be sent to accounting.

· Prepare contract notices/title searches.

· Generate account statements for clients/suppliers.

· Import budgets into Vision.

· Fill out work orders and send them to accounting after approval.

Your Profile

· You hold a vocational or college diploma (DEP, AEC, or DEC) in secretarial studies, administration, or a related field.

· Relevant experience in an administrative role, ideally in construction, environmental services, or decontamination.

· Proficient with office tools (Microsoft Office Suite, project management software, etc.).

· Excellent organizational skills, ability to manage priorities, and strong administrative rigor.

· Discreet, respects confidentiality, and a strong team player.

· Strong written French skills and a good vocabulary.

· Able to communicate in English as needed.

· Outgoing personality and enjoys working in a team environment.
